JOB TITLE: Assistant Duty Officer

HOURS: minimum of 5 hrs a week



SALARY: £9.50 per hr


REPORTING TO: Operations Manager

DIRECT REPORTS: No direct reports



  • Carry out and/or assist with room set ups and changeovers

  • Assist customers with enquiries

  • Cover Reception during evening/weekend shifts

  • Open the Centre as and when required

  • Check, lock and alarm the Centre when leaving (evenings/weekends)



Main Job Tasks and Responsibilities

Duty Officer tasks and responsibilities

  • Set up/break down various events from small meetings to parties and conferences etc. This role involves manual handling, including moving/setting up/packing away chairs & tables etc.

  • During evenings/weekends, be the main contact (and on occasions the only contact) within the building for queries and customer requirements

  • Cover Reception during evening/weekend shifts

  • Open the Centre as and when required

  • Check, lock and alarm the Centre when leaving (evenings/weekends)


Front of House tasks and responsibilities

  • Deal directly with customers either by telephone or face to face

  • Respond promptly to customer enquiries

  • Handle and resolve customer complaints

  • Obtain basic information to enable booking and service enquiries to be passed to Customer Relations Administrator for completion of query

  • Direct requests and unresolved issues to the designated resource

  • Keep records of customer interactions and transactions

  • Record details of enquiries, comments and complaints

  • Record details of actions taken

  • Ensure a comprehensive handover is completed upon completion of front of house cover period

  • Correctly process cash and credit card payments taken

General tasks and responsibilities

  • Ensure the reception area of the Allendale is always clean and clear of obstructions, including putting out wet floor signs and sweeping the foyer when required

  • Exercise a high level of discretion in dealing with personal and confidential information

  • Attend training courses when required and complete all the appropriate Health & Safety requirements for the role

  • Assist when required with any other matter that would facilitate the smooth running of the Allendale Community Centre, or as may reasonably be required by the Senior CRO, Centre Manager or Management Committee

  • Ensure that Health & Safety issues and all WDCA policies are strictly adhered to at all times


Evening or weekend working will be the main requirements of this role, with the ability to provide cover of potentially 20 hours per week if necessary.

Previous Experience (preferred, not essential)

  • Customer service experience

  • Experience of working in public buildings
